Step-by-Step Policy Setup
Navigate to Shop Manager, then Settings, then Policy Settings. Etsy provides a structured form where you select your options rather than writing free-form text. Choose whether you accept returns, exchanges, or both. If you accept returns, set the return window, which most sellers set at 14, 21, or 30 days from delivery. Decide who pays return shipping: the buyer (most common for standard returns) or you (recommended only for defective or incorrectly shipped items). Specify that buyers must provide all personalization details at checkout, that production begins once details are confirmed, and that orders cannot be modified once production starts. If you offer a proof or mockup before production, state how many revisions are included (one or two is standard) and that additional revisions cost extra. Make clear that personalized items are non-returnable and non-refundable because they are made specifically for the buyer and cannot be resold. For high-value custom orders, some sellers require a 50% non-refundable deposit before beginning production, with the balance due before shipping. Be generous within reason. Accepting returns on standard (non-personalized) items within 14 to 30 days with buyer-paid return shipping costs you almost nothing in practice because very few buyers actually return products on Etsy. But offering returns dramatically increases buyer confidence at checkout. A buyer hesitating between your product and a competitor's will choose the seller who accepts returns over the one who does not, every time.
Update your policies before seasonal rush periods. Extend processing times in November and December when order volume increases. Add a note about holiday shipping deadlines. Handling Policy Disputes
When a buyer requests a return or refund that falls outside your stated policies, you have discretion. A buyer who received a product that genuinely does not match the listing description deserves a refund regardless of your return policy. A buyer who simply changed their mind after a 30-day return window can reasonably be declined.
